Important Announcements For Prospective APEC Authors

Manuscript And IEEE Copyright Form Instructions
To upload your manuscript to the Webstracts site, click here.
Send your completed IEEE copyright form to the APEC offices as soon as possible by fax or a copy scanned into PDF format by email. Then, send the original form by mail to arrive no later than January 3, 2005. Those mailing from outside the Untied States may need to use some form of express mail service to assure the form arrives in time. Contact information including fax number, email address and mailing address for the APEC offices can be found on the Contact APEC 2005 page.

Notification That Your Digest Was Accepted Or Declined Has Been Sent
Notification that your paper was accepted or declined was sent by email on Monday, October 18, 2004.
If you have not received notification that your digest was accepted or declined, contact the APEC offices as soon as possible.

APEC 2005 Author Instructions
The APEC 2005 Instructions For Authors is now available. It has the information you need to prepare your manuscript for publication and to prepare your presentation for a presentation session or a dialogue session.

Each Paper Must Have At Least One Author With A Paid Registration
For each paper that will be presented at APEC 2005, whether in a Presentation or Dialogue session, at least one of its authors must have a paid registration.
Authors presenting more than one paper need only pay one registration fee. However, when APEC checks the list of authors for each paper, at least one must have paid a registration fee in order for the paper to be included in the conference proceedings. Papers not in the proceedings will not be presented at the conference.

The APEC 2005 Instructions For Authors also includes instructions for submitting your paper to either the IEEE Transactions On Power Electronics or IEEE Transactions on Industry Applications, if you choose to do so.
Special Note To Authors Not Living In The United States
At recent APECs, there have been a few authors who were not able to present their papers because they were not able to get a visa for entry into the United States in time. The APEC Conference Committee has discussed how it can assist authors not living in the United States. After consulting with the Conference Management team, the only thing the conference can do is issue letters of invitation to the presenting author with the notification that a paper has been accepted.
APEC 2005 encourages prospective authors not living in the United States to investigate as soon as possible the process and time needed to obtain a visa for entry into the United States. The presenting authors are responsible for assuring that they will have the needed travel documents in time for the conference. Please keep in mind that all APEC can do to assist you is send a letter of invitation to presenting authors who have paid their registration fee. Visas are issued by the United States government and APEC has no control or influence with the Unites States immigration authorities.

Requesting a Letter from APEC for Your Visa Application
Presenting Authors Only
Please note that APEC can only provide letters of invitation to presenting authors who have paid their registration fee. We are not able to provide letters of invitation to anyone else. Please don't ask for an exception – it cannot be granted.
To request a Letter Of Invitation to support your visa application, forward to apec@apec-conf.org your registration confirmation email. Include in your email message the following information:
- The number and title of your paper
- The email address at which to contact you if we have any questions
- The postal address to which you want the letter sent.
- A fax number if you want a copy of the letter faxed to you.
- Date of birth, passport number and if you have previously attended APEC are not required but may be included in your letter if provided with your request.
Some important points:
- Letters of invitation can only be sent to presenting authors who have paid their registration fee for APEC 2005/
- Complete one request for each person requiring a visa.
- Submit each request only once.
- Your e-mail address is REQUIRED.
- We will not be able to process any request received after January 2, 2005.
- The original copy of your letter from APEC will be sent via surface mail - please allow enough time for delivery.
- If you wish to pay for your invitation to be sent via international UPS or FedEx, you must have your own account with either of these couriers. Please provide your account number with either of these companies. Absolutely NO exceptions will be made to this policy.
Remember to allow 3 to 4 months to obtain your visa.
